Job description

As Bilingual English Executive Assistant, you will support the CEO and the VP Managers (5 people) on a daily basis.

Your responsibilities will include :

Managing the CEO’s diary and daily schedule (appointments, correspondence, emails, vacations, etc.)
Preparation and organization of logistics for various business events (meetings, travel, speeches, seminars, trade shows, conference calls, etc.).
Mailbox management: identify emergencies and priority e-mails, produce summaries and reminders.
Contact management: track important contacts (international investors and clinicians), keep follow-up dashboards up to date, profile contacts and leads, organize site visits.
Prepare daily summary briefs, analyze priorities
Participation in efficient meetings, organizing meetings in conjunction with other team members and the Managing Director, drafting minutes.
Organization of travel for the Managing Director and certain Comex members
Administrative management of documents (sorting, archiving, correspondence, invoices)
Provide legal secretarial services for the preparation and holding of Board of Directors’ and Shareholders’ Meetings
Follow-up on major contracts and NDAs and alert before renewal deadlines
Manage and process the CEO’s (and other members of the management team’s) expense accounts.


Bilingual in English and French, you are able to write and speak with English speakers on technical subjects.
Experience in an English-speaking environment required.
5 to 8 years’ experience as a general management assistant.

Specific knowledge

Pack Office, computer skills and collaborative tools
Knowledge of the medical research sector.

Excellent writing skills in French and English
Proven knowledge of secretarial techniques (note-taking, scanning, filing, archiving, etc.).
